Welcome

The two-minute lay of the land.

Your dashboard lives at admin.maryskitchencatering.com โ€” it's private, only you and your team can open it. Across the top (or the menu button on your phone) are tabs grouped into Kitchen, Office, and Setup. The two you'll live in most are Today and Schedule.

Under Help you'll find this guide plus quick links to peek at your Order site (what customers see) and the Driver app (what your drivers see), so you can check either without leaving your dashboard.

๐Ÿ’กGolden rule: nothing you tap in here charges a card or sends a text on its own. Explore freely โ€” the buttons that actually do something big always ask you to confirm first.

Your day at a glance

The Today tab is the one screen you can leave up all day โ€” it changes with the hours.

Open Today and it reads the moment for you:

  • โ˜€๏ธ Morning โ€” tonight's dish, how full you are, and a countdown to the order cutoff.
  • โณ Cutoff stretch โ€” the afternoon push as orders come in before the cutoff.
  • ๐Ÿšš On the road โ€” a live board of each driver's progress once deliveries start.
  • ๐ŸŒ™ Winding down โ€” the evening wrap: tips, delivered count, revenue, and what's next.
  • ๐ŸŒฟ Kitchen's closed โ€” a calm screen on your off days, with a peek at the next cook night.

The "Needs you" strip

At the very top of Today, a little strip shows anything that actually wants your attention โ€” an email to answer, a card that didn't go through, an address to fix, a low rating. Tap any item and it takes you straight to it.

โœจWhen it says "Nothing needs you right now" โ€” that's your all-clear. Go enjoy the quiet.

Shopping & prep

Your shopping list builds itself from the orders that came in and the recipes you set up. No adding things up by hand.

Get your buy list

  1. Open the Shopping & prep tab. It gathers every upcoming night that has orders.
  2. Up top, check which nights you're shopping for (uncheck any you're not).
  3. The shopping list below totals every ingredient across those nights โ€” quantity, estimated cost, and which dishes it's for.
  4. Tap โง‰ Copy, โ†“ CSV, or โŽ™ Print to take it with you to the store.

The prep buffer โ€” shop a little extra

Spills happen, someone's hungrier than planned, a container drops. The ๐Ÿณ Prep buffer lets you shop and prep above confirmed orders without touching anyone's order or charge.

  1. In the Prep buffer bar, set a cushion โ€” a percentage (e.g. +10%) and/or a flat number of plates per night.
  2. The shopping list and per-night prep sheets instantly adjust to the buffered count.
๐Ÿ›ŸThe buffer only changes what you shop and prep โ€” never the number of orders, your capacity, or what anyone is charged. It's just for you.
๐Ÿ’กIf a scheduled dish has no recipe yet, the page tells you โ€” that dish won't be in the totals until you add its recipe. Quick fix in the Recipes tab.

Drivers & deliveries

Add your delivery team, give each person their own private link, message them, and track what they've earned.

Add a driver

  1. Open the Drivers tab, then tap Add driver.
  2. Type their first name and mobile number.
  3. Check the zones they cover โ€” Hemet, San Jacinto, Valle Vista.
  4. Leave Active checked, then tap Add driver.

Give a driver their private link

Every driver gets a portal link โ€” a private page showing their route and pay. No app, no password.

  1. On the driver's card, find the ๐Ÿ”— link row and tap Copy link.
  2. Paste it into a text to that driver. That's their way in.
๐Ÿ”’Keep it to that driver. The link is their key โ€” send it just to them, not a group chat.

Message a driver

There's a built-in chat with each driver โ€” handy for "leave it at the door" notes.

  1. Tap ๐Ÿ’ฌ Messages on their card.
  2. Type your note and tap Send. Their replies show up here too.

Edit or pause someone

Tap Edit to change a name, number, or zones โ€” or uncheck Active to take them off the schedule without losing their history. Flip it back on anytime.

See what a driver has earned

The ๐Ÿ’ต Driver pay panel at the top keeps a running tally per person: their base pay ($5 per stop) plus tips, and how many deliveries it covers. A badge shows โœ“ Stripe ready or โš  Needs Stripe setup.

๐ŸšงActually paying drivers is coming very soon. Right now the dashboard tracks every dollar owed so nothing gets lost โ€” the "Pay" button and the driver's sign-up-to-get-paid step are the next thing we're switching on. This section gets a full "Paying your drivers" walkthrough the moment it's live.

Your website's words

You can edit the words customers read on your order site โ€” no code, no waiting on anyone.

  1. Open Settings and find the ๐Ÿ“ Site copy card.
  2. Edit any box: the headline, the sub-headline, the order button text, the delivery note, the promo badge, or the About story.
  3. The Announcement banner is special: type in it to show a bar across the top of the site (e.g. "Closed the week of the 4th"), or leave it blank to hide it.
  4. Tap Save site copy โ€” it's live on the site within moments.
๐Ÿ’กDesign and layout stay in code, but all the words are yours to change here anytime. Prefer to just ask? The Copilot (below) can make these edits for you.

Marketing & promos

Run a promo as a campaign: a discount code with its own tracked share links, so you can see what's working.

Create a campaign

  1. Open the Marketing tab and tap Add campaign (the ๏ผ‹).
  2. Enter a code (e.g. HEMET5), the discount ($ off), and optionally a max number of redemptions, an end date, and first-time customers only.
  3. Add a quick note to yourself about where it's running, then tap Create campaign.

Share it (and see what works)

  1. On the campaign card, pick a channel from the dropdown โ€” Instagram, Facebook, Flyer/QR, Email, or Text.
  2. Tap Copy to grab that channel's tracked link, and share it.
  3. Redemptions, revenue, and new customers tally up on the card automatically, so you can tell your flyer from your Instagram.
๐ŸŽ›๏ธToggle a campaign Live / Paused anytime with the switch on its card โ€” paused links simply stop applying the discount. Plain referral codes live in the separate Codes tab.

Settings & the money

The Settings tab holds the knobs that shape how ordering works.

The ones you'll touch:

  • Order cutoff โ€” how far ahead of a dinner orders close (e.g. the day before) and the time of day. Customers see this on the order page.
  • Add-ons โ€” extras like plates or a utensil pack offered at checkout.
  • Driver pay rate and prep buffer โ€” quick links over to those tabs.
  • AI daily budget โ€” a hard cap on what the AI helpers can spend in a day. When it's hit, they pause politely until tomorrow.
  • Site copy โ€” the words card from the section above.
๐Ÿ’ณThe Stripe / money side. Taking payments and paying drivers run through Stripe, which keeps all the sensitive card and bank details on its own secure systems โ€” your dashboard never stores them. The store is still in test mode today (test cards only, no real charges); flipping to live is a deliberate step we'll do together when you're ready to open.

The AI Copilot

A little assistant tucked in the corner of every page โ€” ask it in plain English and it does the finding and the filling-in for you.

  1. Tap the โœฆ Copilot button in the bottom corner of any screen.
  2. Type what you want, like a text message: "Add a driver named Sofia," "Start a $5 flyer promo for Hemet," "Change the headline to sayโ€ฆ"
  3. It takes you to the right page and fills the form in for you โ€” then hands it back so you can look it over and tap Save yourself.
๐Ÿ–๏ธYou always have the last word. The Copilot never saves or sends on its own โ€” it gets everything ready, and the final Save is always your click.
๐Ÿ“ทSee the little camera on the Copilot? You can hand it a photo โ€” snap a receipt or a dish โ€” and it'll read it and help. The ๐Ÿง  button shows what it remembers about your kitchen.
